Gym software assumes the wall is always open
An intro-to-belay on lane 3 is a different animal from a Saturday at the crag: more gear, a weather call, a waiver that actually mentions falling rock, and an instructor-to-student ratio you cannot fudge.
Gym-native tools are good at memberships and punch cards. They are clumsy at 'this coach is guiding tomorrow, that coach is on kids camp, and the outdoor rack is missing a device.'
If the outdoor program lives in a Google Sheet next to the gym's POS, you will double-book a setter-who-also-guides. It happens every season.
One board for the gym floor and the crag
Lesson types can be indoor or outdoor. Locations can be the facility or a meeting lot. Instructors carry availability for both. Gear checkout belongs on the outdoor day, not in a group chat.
Different lessons, different rules
Belay certs, private technique, and outdoor intro days are separate lesson types with their own duration, price, and who is allowed to teach them.
Waivers that match the day
Send the gym waiver for the intro class and the outdoor waiver for the crag. Track signatures before you leave the parking lot.
Racks and shoes on the lesson
Check out outdoor kits against the session. You see what left the shop and what is still marked out from last weekend.
Weather when you actually go outside
Outdoor locations can show conditions and thresholds. Indoor classes do not need a forecast. You should not have to pretend they are the same.
Questions owners actually ask
- We already have gym management software. Why add this?
- Keep the gym tool for memberships and the front desk if it is working. Seshana is for the instructional calendar — especially the outdoor days those systems treat as an afterthought.
- Can we sell both gym classes and outdoor trips?
- Yes. They are different lesson types and, usually, different locations. Customers stay in one database either way.
- Does the booking widget work on our existing site?
- Yes. Embed it and point it at the lessons you want public. Staff can still add privates by hand.
- What about minors?
- Customers can carry contact info and waivers. You still decide who is allowed on an outdoor day. The software will not invent a youth policy for you.
