By then, you're scrambling to reassign lessons, notify customers, and figure out whether the instructor already taught any sessions that required a current credential.

When a school turns on instructor certification tracking, Seshana watches expiration dates and changes what the software shows before a lapse becomes a problem. The instructor stops appearing in the booking widget for lessons that require the expired credential. The admin assignment list labels them as not currently qualified. Existing lessons on the calendar stay assigned unless the school chose the auto-clear setting. And everyone involved gets notified before and when it happens.

Why Expiration Matters for Outdoor Schools
Certification requirements exist for a reason. A kiteboarding instructor needs a current IKO or other recognized credential. A climbing guide needs AMGA certification for certain routes. A sailing instructor needs ASA or equivalent qualifications. An equestrian barn might require Certified Horsemanship Association credentials for specific lesson types. State fishing licenses expire. Trail-guide certifications come with annual renewal dates.
Those credentials aren't decorative. They represent training, insurance requirements, legal liability protection, and customer safety. When a certification lapses, the instructor can't legally or safely teach the lessons that require it, even if they taught the same lesson yesterday.
The problem for most schools is that expiration dates live in a filing cabinet, a spreadsheet, or someone's head, and nobody checks them until it's too late. How Certification Tracking Works in Seshana
Certification tracking is off by default. A school turns it on from Settings, then defines the certifications it recognizes: IKO Level 2, ASA 101, AMGA Single Pitch Instructor, CHA Advanced Trail Guide, whatever credentials matter for that operation.
Each instructor stores their credentials on their profile: the certification name, the issuing organization, the date earned, the expiration date, and an uploaded copy of the certificate. Instructors can add and update their own certifications from their profile. Admins can do it for them from the team page.
The school then marks which lesson types require which certifications. A beginner kiteboarding lesson might not require any certification. An intermediate lesson might require IKO Level 2 or equivalent. An advanced lesson might require a higher tier. A lesson type with no required certifications is open to any assigned instructor.
When a lesson type requires a certification, the booking widget only offers instructors who currently hold it, and the admin assignment list separates those who hold it from those who do not. An expired certification is treated the same as a missing one, so an instructor with a lapsed credential stops being offered for lessons that require it until the certification is renewed.
The school chooses what expiration does beyond filtering: warn only, block new assignments, or also remove the instructor from upcoming lessons that require it. That setting applies shop-wide and can be overridden per certification if needed.
What Happens 30 Days Before a Certification Expires
Seshana checks certification expiration dates every hour. Thirty days before a certification expires, the system sends a reminder to the instructor and to all admins in the organization.
The reminder includes the certification name, the expiration date, and a link to the instructor's profile where they can upload the renewed certificate. If the instructor is already in the process of renewing it, they see the reminder and know to upload the new documentation as soon as it arrives.
The instructor gets an in-app notification and an email. Admins get the same. This is the first warning that something needs attention, and it happens far enough in advance that renewal is usually straightforward.
Nothing changes in the booking widget or the assignment list at this point. The instructor still appears for lessons that require the certification. The 30-day reminder is exactly that: a heads-up that action is needed, not an enforcement step.
What Happens the Day a Certification Expires
When the expiration date arrives, Seshana sends a second notification to the instructor and all admins. This one says the certification has expired, not that it will expire soon.
At this point, the system starts treating the certification as missing. How that affects bookings and assignments depends on the school's expiration enforcement setting, but the baseline behavior is the same: an expired certification no longer satisfies any requirement.
The instructor does not lose access to their account. They can still log in, see their schedule, set availability, and update their profile. What changes is which lessons they can be assigned to and which lessons they appear for in the booking widget.
How Expiration Affects the Booking Widget
The booking widget shows customers which instructors are available for a given lesson type, date, and time. When a lesson type requires a certification, the widget only lists instructors who currently hold it.
Once a certification expires, the instructor stops appearing in the widget for lessons that require it. A customer trying to book an intermediate kiteboarding lesson will not see an instructor whose IKO Level 2 credential lapsed yesterday, even if that instructor is free and available.
The widget does not explain why an instructor is missing from the list. It simply does not show them. The customer sees the instructors who are qualified and available, and they book one of them. The filtering happens before the customer ever interacts with the widget.
For lesson types that do not require certifications, the instructor still appears normally. An expired IKO Level 2 does not block an instructor from teaching beginner lessons if those lessons do not require a certification. The filtering is per-lesson-type, not account-wide.

How Expiration Affects Admin Assignment
When an admin assigns an instructor to a lesson from the schedule, Seshana shows an assignment list that includes availability and certification status. Instructors who are free and qualified appear at the top. Instructors who are free but do not hold a required certification appear below them, labeled as not currently qualified.
An expired certification moves the instructor into the not-currently-qualified section. They do not disappear from the list entirely, but they are clearly marked as missing the required credential.
The admin can still assign them if needed. Seshana asks for confirmation, accepts a reason for the override, and records the assignment. This override path exists for edge cases: the instructor renewed yesterday but has not uploaded the new certificate yet, or the school made an exception for a specific lesson, or the admin knows the instructor is qualified but the system does not have the paperwork.
The override is logged. The admin who made it, the reason given, and the timestamp all stay on the record. If the school later needs to audit lesson assignments, that information is available.
What Happens to Existing Lessons When a Certification Lapses
When a certification expires, the school decides what happens to lessons already on the calendar. Seshana offers three enforcement levels: warn only, block new assignments, or block new assignments and also remove the instructor from upcoming lessons that require the expired certification.
The default setting is warn only, which means existing lessons stay assigned. The instructor keeps teaching lessons they were already scheduled for, even if the certification lapses. The school gets notified, the instructor stops appearing in the widget for new bookings, and the admin assignment list labels them as not qualified, but nothing on the calendar changes automatically.
If the school chose block-and-clear enforcement, Seshana unassigns the instructor from future lessons that require the expired certification. Past lessons and in-progress lessons are never touched. Lessons that already happened stay in the record exactly as they were. Lessons currently underway are not interrupted. Only future lessons are affected.
When an instructor is auto-cleared from a lesson, the school gets notified. The lesson stays on the calendar, but it no longer has an assigned instructor. The admin sees an unassigned lesson and needs to pick someone else to teach it.
The clear step does not cancel the lesson or notify the customer. It removes the instructor from the assignment, and the school handles the rest. This is intentional: the software does not know whether the school wants to find a substitute, reschedule the lesson, or handle it some other way. The school makes that call.
The enforcement setting can be overridden per certification. A shop might use warn-only for general instructor credentials but block-and-clear for specialized certifications tied to insurance requirements or legal compliance.
How the School Renews an Expired Certification
When an instructor renews a certification, they update their profile with the new expiration date and upload the renewed certificate. Admins can do this for them from the team page if needed.
The update is immediate. As soon as the new expiration date is saved, the certification is no longer expired. The instructor reappears in the booking widget for lessons that require it. The admin assignment list moves them back into the qualified section. Any auto-clear from future lessons stops applying to new assignments.
Seshana does not verify that the uploaded certificate is genuine or that the new expiration date is accurate. The software stores the document and displays it, but it does not check the certificate against the issuing organization's records. That verification is the school's responsibility, not the software's.
If the school turned on block-and-clear enforcement and the instructor was removed from future lessons, renewing the certification does not automatically reassign them to those lessons. The lessons are still unassigned, and the admin needs to go back and assign the now-qualified instructor to them again. This is intentional: the software does not assume the school wants to restore the same instructor after a lapse.
How the Instructor Reappears After Renewal
Once the certification is renewed, the instructor reappears in the booking widget for new bookings. A customer looking at the same lesson type and time slot that showed three instructors yesterday will now see four, because the renewed instructor is back on the list.
The admin assignment list updates the same way. The instructor moves out of the not-currently-qualified section and back into the main list. If they are free at the proposed time, they appear at the top of the assignment picker alongside other available, qualified instructors.
The renewal does not generate a notification to customers or other instructors. It is an internal update. The instructor is simply back in rotation for lessons that require the renewed certification.
Common Certification Expiration Scenarios
Scenario one: Instructor renews before expiration. The instructor uploads the renewed certificate a week before the old one expires. The new expiration date replaces the old one. No filtering ever happens. The instructor stays in the widget and assignment list continuously. This is the ideal path.
Scenario two: Instructor renews the day after expiration. The certification lapses. The instructor disappears from the widget for one day. The admin assignment list labels them as not qualified. The instructor uploads the renewed certificate. They reappear immediately. No lessons were auto-cleared because the lapse was too short.
Scenario three: Instructor renews two weeks after expiration, and the school uses warn-only enforcement. The certification lapses. The instructor stops appearing in the widget. The admin assignment list labels them as not qualified. The instructor keeps teaching lessons they were already assigned to. The school gets notified. Scenario five: Instructor has two certifications, one expires. The instructor holds IKO Level 2 and IKO Level 3. Level 2 expires. Level 3 is still current. The instructor stops appearing for lessons that require Level 2. They continue appearing for lessons that require Level 3. They continue appearing for lessons that require no certifications. The filtering is per-credential, not per-instructor.

What if an instructor has the certification but has not uploaded it to their profile yet? Seshana treats a missing credential the same as an expired one.
